2.3.1 Language
Language is the communication tool used to transfer the message. It should be tactful, clear and active. The following points build on the material presented in Dwyer (2005).
1. Choose understandable words . You can achieve this by:
- using a dictionary and thesaurus.
- using the K.I.S.S. principle (Keep It Short and Simple)
- considering your receiver's viewpoint. Think about your reader's education, background, occupation, interests and attitudes.
- avoiding jargon.
2. Use strong words
Aim to communicate with clarity and assertiveness.
3. Emphasise positive words
A positive word is one that conveys optimism and confidence. Negative words may cause your receiver to have unpleasant feelings.
4. Avoid overused words
Words that are used, over and over, lose their effectiveness. Use original, simple and strong words.
Activity 2b
Look through one of your own pieces of writing and consider the language you have used. Is it clear, unambiguous and tactful? Could it be improved?
Based on your examination of it you might even consider rewriting either all of the document or the opening paragraph.
