12.1.2 Getting and using necessary information
Complicated controls rarely work. They more often confuse. They misdirect attention from what is to be controlled to the 'mechanics' or 'methodology' of the control.
Appropriate and understandable information about your operation is essential for control. Ask yourself: What information is essential to effectively control the activities within my area of responsibility?
However, in attempting to effectively control your section, do not reduce efficiency by requiring numerous and laborious reports (which also increases filing). Information needs to be economical. The business environment is constantly changing. Your control system must also be flexible and capable of accommodating changes.
Information gathered efficiently and used wisely provides for the manager controls that will help avoid problems. Evaluation and control are essential as they provide direction, guidance and motivation. For example,
- direction
Evaluation and control enable the manager to ensure that the department or section is on the right track and in line with organisational goals, and that corrective action is taken when necessary. - guidance
Evaluation and control provide guidance. Employees can learn what is happening in their section and how they and their colleagues are 'shaping up'. They can learn how their performance compares with what is expected and what needs to be done to make improvements. - motivation
Evaluation can serve as a tool for increasing the motivation of employees and can be a source of praise when they are performing well.
Key management concept
Do not defend yesterday.use energy to act on results, exploit today and shape tomorrow.
Then there are Mintzberg's thoughts.
While strategy is a word that is usually associated with the future, its link to the past is no less central. Life is lived forwards but understood backward.
