4.2.3 Urgent vs important decisions

A particularly useful time management technique is to distinguish between urgent and important decisions. This distinction is significant as these two types of decisions have to be dealt with differently.

Consider this

How do you think we can distinguish between urgent and important items? What is the principal difference and the relationship between them?

You should note carefully that urgent items have a deadline attached; that is: they have to be done by......Important items also have a deadline. The deadline for them is usually far enough in advance for there to be sufficient time to focus primarily on quality .

Another significant relationship is that important items tend to become urgent in the hands of procrastinators! For example, your assignments are an important item with a deadline attached. You need to think through a 'quality' answer. If you leave assignments for long enough, they will become both important and urgent.

The boundary between these two types of problems is not always clear since it is possible to have a problem that is both urgent and important. The case study in the following reading is a problem of this type.

Decisions are often of the 'non-programmed' type and as such include an element of uncertainty or risk. They present a challenge to managers. It is for this reason that we aim to develop your skills in effectively handling non-programmed decision situations.

Activity 4.1

Make a list of several of the decisions and problems that you have confronted on a recent typical day. Are they mostly programmed or non-programmed? What proportion of them are urgent as opposed to important?

Keep this list as you will be needing it again.
